The group is a KKR-backed European education group serving more than 150,000 students and generating around €300 million in annual revenue. Its portfolio brings together education businesses that serve individual students and institutional customers.

As the group expanded through acquisitions, leadership needed a clearer view across businesses with different systems and reporting processes. It translated that need into more than 120 management questions covering students, sales and business performance, with the information and outputs leaders wanted to see.

Rebase mapped those questions to the underlying sources and built a connected platform for management reporting and operational analysis. Alongside that work, Rebase developed an invoice-processing module for finance. Together, these form the starting point for a finance function that understands the business and prepares the work behind its decisions.

## The challenge

Acquisitions expanded the group's education offering while bringing together separate academic, commercial and accounting environments. Its technology landscape included four ERP instances, a CRM, learning and academic systems, SharePoint, and other operational sources. Information needed for a management question could sit in several places, with different teams responsible for each part.

Even a question about active students required knowing where the relevant records lived and how to retrieve them. Leadership also wanted to understand how those figures changed month by month and how student activity related to sales and wider business performance. Producing a useful answer meant connecting the question to the right data, then presenting it in a form management could use.

Finance faced a related preparation burden. Supplier invoices, supporting documents and accounting records had to be retrieved and checked before the team could review an entry or investigate a difference. The group's mix of individual students and institutional customers added different billing and payment patterns to that work.

## Deployment within the group's environment

The deployment started with the group's management questions. Each question was associated with a use case and an expected output. Rebase worked backwards from that list to identify the systems and records required, creating a map between what leadership wanted to understand and where the relevant information was held.

That work included Oracle and PostgreSQL connections, Zoho CRM data and support for SharePoint content. Mapping the sources gave Rebase Agents the context needed to retrieve relevant records and investigate questions across the group's business information.

Rebase was deployed within the group's own environment, with access controls and visibility into the sources and activity behind an answer. The setup respected the company's approved model relationships and permissions. Business users could work through the interface while technical teams retained oversight of what information was accessible and how it was being used.

## What Rebase enables

### Management reporting and operational analysis

The working platform gives business users a direct way to investigate the information behind the group's management questions. They can ask in plain language, explore the relevant records and request reports, charts or spreadsheets from the same conversation. Rebase Agents handle the retrieval and analysis needed to prepare those outputs.

The active-student questions show why the source mapping matters. The group asked for both the student count and its monthly evolution. Rebase's approach connects those requests to the relevant academic records and the requested output, giving the investigation a defined business purpose from the start.

This brings business questions, analysis and supporting sources into one place. A user can inspect the information behind an answer and continue the investigation as follow-up questions arise. Management reporting becomes a way to explore the business, with the evidence available alongside the explanation.

### Invoice processing built for finance review

Rebase also developed an invoice-processing module to prepare incoming invoices for accounting review. The module applies the same principle to a recurring finance task: gather the information, check it and assemble an output the team can inspect before deciding what to do.

The workflow is built to:

- Read and classify incoming invoices
- Check required information and supporting records
- Flag missing information and discrepancies for review
- Prepare the record for the appropriate ledger

The prepared record gives finance the invoice information and the issues that need attention together. Accountants retain responsibility for resolving exceptions, correcting the record and approving the final treatment. The module has been developed; completing testing and handover depends on the relevant system access.

## Extending the work into reconciliation

Bank reconciliation is the next application identified for the platform. It would bring bank activity, invoice details and ledger records together, prepare potential matches and assemble the evidence behind unresolved differences.

The proposed workflow would give finance a record of what matched, what remains open and why an item needs review. Matching decisions and accounting treatment would remain with the team, supported by the information Rebase Agents prepare.

That work would strengthen the financial context available for payment investigations, management reporting and month-end close. The same records used to resolve a transaction can help explain the balances and movements leadership sees in its reports.

## A finance function that understands the business

The broader ambition is for leadership to get reliable answers sooner and for finance to spend more time interpreting performance and deciding what to do next.
